Privacy Policy

First on Scene respects your privacy. This Privacy Policy explains how First on Scene ("First on Scene," "we," "us," or "our") collects, uses, shares, and protects information when you use our mobile application, website, equipment dashboard, and related services (collectively, the "Service").

1. Information we collect

Account information. We collect the name, email address, password-related authentication records, email-verification status, account creation date, and session information needed to create, secure, and manage your account. Passwords are handled by our authentication provider and are not visible to First on Scene in readable form.

Equipment and location information. We collect information you enter about locations and emergency equipment, including equipment names and types, physical location descriptions, inspection dates, expiration dates, battery and pad expiration dates, reminder preferences, and stable equipment identifiers used to generate QR codes.

Collaboration information. If you share a location, we process collaborator email addresses, invitation status, and the viewer or editor role assigned by the location owner.

Notification and communication information. We process your selections for email and device reminders. If you enable device notifications, your device operating system manages notification permission. We also process transactional email delivery information for verification, password resets, invitations, and equipment reminders.

Technical information. Our service providers may process limited technical information such as IP address, browser or device type, request timestamps, authentication events, and error or security logs to operate, protect, and troubleshoot the Service.

2. How we use information

  • Provide accounts, authentication, equipment tracking, location management, collaboration, QR codes, and cross-device synchronization.
  • Send requested verification, password-reset, invitation, expiration, and inspection messages.
  • Protect accounts, prevent abuse, diagnose problems, and maintain the reliability of the Service.
  • Respond to support requests and comply with applicable law.
  • Improve the Service using operational information. We do not use your equipment records for targeted advertising.

3. How we share information

We do not sell your personal information and do not use it for cross-context behavioral advertising. We disclose information only as needed to provide the Service:

  • Supabase provides database hosting, authentication, server functions, and related infrastructure.
  • Resend processes transactional email delivery.
  • Authorized collaborators can see information for locations shared with them according to their assigned role.
  • Legal and safety disclosures may occur when reasonably necessary to comply with law, enforce our terms, protect rights or safety, or investigate fraud or misuse.
  • Business transfers may involve information if the Service or its assets are reorganized, acquired, financed, or sold, subject to appropriate protections.

4. Data retention and deletion

We retain account and equipment information while your account is active and as needed to provide the Service. You can edit or delete individual equipment and locations, subject to collaboration and ownership rules. You may permanently delete your account from Account → Settings. Account deletion removes the account, locations you own, their equipment, reminder history, and collaboration access, except for limited records we must retain for legal, security, fraud-prevention, or dispute-resolution purposes.

5. Your choices and rights

You can review account details, change reminder selections, decline device-notification permission, leave or decline collaborations, and delete your account. Depending on where you live, you may also have rights to request access, correction, deletion, portability, restriction, or objection. Use the contact page to submit a privacy request. We may need to verify your identity before completing it.

6. Security

We use reasonable administrative, technical, and organizational safeguards, including authenticated access and database access controls. No internet service is completely secure, so we cannot guarantee absolute security. Keep your password confidential and notify us if you believe your account has been compromised.

7. Children’s privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child provided information to us, contact us so we can investigate and delete it where appropriate.

8. Data processing locations

First on Scene and its service providers may process information in the United States and other locations where they operate. Data protection laws may differ from those in your location.

9. Changes to this policy

We may update this Privacy Policy as the Service or legal requirements change. We will post the updated policy with a revised effective date and provide additional notice when appropriate.

Terms of Use

These Terms of Use ("Terms") govern your access to and use of First on Scene. By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.

1. Eligibility and accounts

You must be legally able to enter into these Terms. You agree to provide accurate account information, protect your password, and promptly notify us of suspected unauthorized access. You are responsible for activity under your account and for ensuring that invited collaborators are appropriate.

2. Purpose of the Service

First on Scene is an organizational tool for recording equipment information, dates, locations, collaborators, and reminders. It is not an emergency service, medical device, inspection authority, maintenance provider, or substitute for manufacturer instructions, professional judgment, legally required inspections, or emergency procedures. Never delay contacting emergency services or using appropriate emergency procedures because of information in the Service.

3. Your responsibilities

You are responsible for the accuracy and completeness of information you enter; inspecting, testing, storing, servicing, and replacing equipment; following manufacturer instructions; and meeting applicable medical, workplace, fire-safety, recordkeeping, and other legal requirements. A displayed status or reminder does not certify that equipment is safe, compliant, present, functional, or ready for use.

4. Reminders and notifications

Email and device notifications are convenience features. Delivery can be delayed or prevented by device settings, internet availability, email filtering, operating-system behavior, incorrect dates, service interruptions, or other circumstances. You must maintain independent inspection and replacement procedures and must not rely exclusively on First on Scene reminders.

5. Equipment QR codes

QR codes are identifiers that help authorized users locate an equipment record. Keep printed labels in suitable condition and place them only where lawful and appropriate. Access to a record remains subject to account permissions. Do not use QR codes to represent regulatory certification, manufacturer approval, or guaranteed equipment status.

6. Collaboration and permissions

Location owners control invitations and may grant viewer or editor access. Editors can change shared information, and those changes may appear across devices. Owners are responsible for selecting collaborators and access levels. We may remove access or content when reasonably necessary to protect the Service or comply with law.

7. Your content

You retain ownership of information you submit. You grant First on Scene a limited, nonexclusive license to host, process, reproduce, and transmit that information only as needed to operate, secure, improve, and support the Service. You represent that you have the right to provide the information and share it with selected collaborators.

8. Acceptable use

You may not misuse the Service; access another person’s account or data without authorization; probe or bypass security; interfere with operation; upload malicious material; use the Service unlawfully; falsely represent equipment as certified or compliant; or reverse engineer the Service except where law expressly permits it.

9. Our intellectual property

The Service, branding, software, design, and related materials are owned by First on Scene or its licensors and are protected by intellectual-property laws. These Terms give you a limited, revocable, nontransferable right to use the Service for its intended purpose; they do not transfer ownership.

10. Third-party services

The Service depends on third-party infrastructure and platforms, including Supabase, Resend, device operating systems, and app-distribution platforms. Their services may be governed by separate terms and may change or experience interruptions outside our control.

11. Availability, changes, and termination

We may modify, suspend, or discontinue features; impose reasonable limits; or restrict access to protect users, comply with law, or maintain the Service. You may stop using the Service and delete your account at any time. Provisions that by their nature should survive termination—including ownership, disclaimers, and limitations—will survive.

12. Disclaimers

To the maximum extent permitted by law, the Service is provided “as is” and “as available.” First on Scene disclaims warranties of merchantability, fitness for a particular purpose, noninfringement, accuracy, availability, and error-free operation. Some jurisdictions do not allow certain disclaimers, so portions of this section may not apply to you.

13. Limitation of liability

To the maximum extent permitted by law, First on Scene will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for loss of data, profits, goodwill, equipment availability, or business interruption arising from the Service. Nothing in these Terms excludes liability that cannot legally be excluded.

14. Changes to these Terms

We may update these Terms. We will post revisions with a new effective date and provide additional notice when appropriate. Continued use after the revised Terms take effect means you accept them.
